When to send

How to use this template

Event invites work best on a three-touch cadence: a save-the-date 4–6 weeks out, the formal invite 2–3 weeks out, and a reminder 24–48 hours before. Each touch should reduce friction to RSVP.

Best practices
  • Show date, time, and time zone in the first viewable line. No recipient should have to scroll for that.
  • Include an .ics calendar attachment or one-click "add to calendar" link.
  • Use a single primary RSVP CTA. Decision fatigue kills conversion.
  • If the event is virtual, name the platform (Zoom, Hopin, etc.) so security-cautious recipients aren't blocked.
