Email signature generator
Make an HTML email signature that holds its layout in Outlook, Gmail, Apple Mail and on phones, with no sign-up and no credit line added.
A signature that renders the same in Outlook, Gmail and Apple Mail is a small HTML table with every style written inline, and images loaded from an https address with their width and height set. Google allows up to 10,000 characters in a Gmail signature, and Microsoft says classic Outlook blocks picture downloads by default, so keep your name, number and links as text. The generator below writes that HTML for you.

Checks
- 2,930 of the 10,000 characters Gmail allows in a signature.
- Accent on white is 7.16:1, enough for small link text. Contrast checker
- Every link is https, mailto or tel, and every image has an https address, a width and a height.
How to add the signature to your mail app
Copy the signature, open the signature settings, paste, save. The steps for each app are from its maker’s help page.
- Select Copy signature above.

- In the Signature section, click in the signature box and paste.
- Under the box, choose the signature as the default for new emails and for replies if you want it added every time.
- At the bottom of the page, click Save Changes.
- Images
- Google recommends signature images 70 to 100 pixels high and 300 to 400 wide, and gives 100 by 1,000 as the most. This generator never draws an image taller than 100 pixels. Source: Google, Troubleshoot issues with Gmail signatures.

What makes a signature render the same everywhere
The generator writes for classic Outlook for Windows, which draws email with Word’s engine, and checks each choice against Gmail and Apple Mail.
<table role="presentation" cellpadding="0" cellspacing="0" border="0" style="border-collapse:collapse;">A table for the layout. Classic Outlook 2007 to 2019 supports no flex, grid or float.
<td valign="top" style="padding:0 16px 0 0;…">Space is cell padding, the only padding classic Outlook applies.
<img src="https://draftship.io/img/signature/kestrel-freight-logo.png" width="72" height="72" alt="Kestrel Freight" border="0" style="width:72px;height:72px;…">Size as attributes, because classic Outlook ignores CSS width, then again in CSS, with alt text for when pictures are held back.
<td style="font-family:Arial, Helvetica, sans-serif;color:#23272e;…">Tomas Brandt</td>Every style inline: Gmail’s mobile web version drops style blocks. Text is dark gray, since Apple Mail inverts pure black.
<a href="tel:+12065550142" style="…">+1 206 555 0142</a>A number a phone can call, written the RFC 3966 way: + and the country code first.
Photos are drawn square, because classic Outlook does not support border-radius. Every layout stays under 5,000 characters with every field filled, half of Gmail’s 10,000.
Where to host the images
A signature image is loaded from its address each time the email is opened, so the address has to be public, start with https and keep working. Your own website is the best home. The Upload button above is next: it resizes the file and stores it on draftship.io at an address that changes only if the file does. A Google Drive image must be shared with anyone who has the link.
Avoid images embedded as data, which Gmail does not show, and SVG or WebP, which classic Outlook does not show (SVG, WebP). Our recommendation: make the file twice the width it is shown at. Uploads here are drawn 480 pixels wide for a logo and 200 for a photo.
What to leave out
- Details set as a picture. Classic Outlook blocks pictures by default, and a number in a picture cannot be tapped.
- Social icons as images. Each is another picture to block. The profiles here are text links.
- A line of dashes. Gmail adds its own two dashes above a signature.
- Banners and long disclaimers. Both repeat on every reply. Our recommendation: one legal sentence at most.
- Web fonts. Gmail and classic Outlook do not load them. Every font offered here is one most computers have, with a fallback for phones.
